VOLUNTEER COORDINATOR & COMMITTEE
HazingPrevention.Org Position Description
Service to HPO Volunteers are the heart of HPO. Without them the mission of HPO cannot be accomplished. The Volunteer coordinator oversees all aspects of the Volunteer Management Plan.
Position Impact The Volunteer Coordinator will oversee recruitment, placement, training and recognition of volunteers for HazingPrevention.Org. He/she may recruit a committee to assist with these tasks. The Volunteer Coordinator supports the volunteer operations, which are core to helping fulfill the HPO mission. The mission of HPO is “Empowering people to prevent hazing in college and university environments to foster a more developmental student experience within groups."
Duties
- Oversee HPO Volunteer Management Plan and review annually.
- Develop a marketing and recruiting plan to place volunteers into positions within the organization.
- Manage placement of volunteers into positions that best fit their skill levels and interests.
- Work with Nominating and Governance Committee and serve as a member of the committee.
- Develop a reporting structure that allows for progress reports, identification of problem areas and possible replacement of ineffective volunteers.
- Plan and implement training to increase the effectiveness and success of HPO volunteers.
- Help committee chairs with individual training as needed.
- Participate in conference calls with the Executive Director and Board Chair to assess progress and performance of committees.
- Evaluate committee chairs and volunteers for effectiveness.
The Volunteer Coordinator does not manage volunteers. He/she manages the process of recruiting, appointing, and informally evaluating and assessing volunteers.
Qualifications and Skills The Volunteer Coordinator should have some or all of the following characteristics:
- At least three years of volunteer experience within any organization;
- Skills in managing multiple people and projects;
- Interpersonal skills to address volunteer issues
Benefits This person has significant impact on the experiences of all organization volunteers. Already strong skills of managing volunteers will be augmented through the HPO process, which requires this person to manage through email and online training versus in-person training, which is often the case in organizations. These skills and lessons likely carry over into other organizations with which a person is affiliated.
Supervision & Support The Board Chair provides supervision and support. The Nominating and Governing Committee works closely to ensure the procedures of the organization and the Volunteer Management Plan is properly enacted. The Executive Director will support the Coordinator and provide information as needed.
Required Commitment The Volunteer Coordinator is appointed for one calendar year. This person can expect to spend approximately 10 hours per month on volunteer management, specifically working with the board chair and executive director to ensure volunteers are performing their duties. There may be some times of the year that are busier than others. The coordinator will be asked to participate in quarterly conference calls with the board and or other organization leaders as needed. Additional communication may be needed depending on the project load. The Volunteer Coordinator is encouraged to contribute financially to HPO as able. Donations can be made via www.hazingprevention.org. The person in this role is expected to keep up to date on volunteer management practices in the association and nonprofit community.
Reporting The Volunteer Coordinator reports to the Board Chair. The Volunteer Coordinator will develop an annual Project Plan (goals), and provide quarterly status reports.
